Complaint email evidence checklist
Turn scattered inbox threads into dated events and labelled PDFs or screenshots.
Complaint threads often hold the clearest record of what was said and when. Capture them as chronology events and evidence files — not as arguments.
- Export or save each meaningful message with date and time visible.
- Keep the full thread order; do not drop earlier context when saving a later reply.
- Note who sent what (you vs them) in the event title: “Complaint emailed”, “Seller replied”.
- Save attachments separately and label them (invoice, photo, credit note).
- Record any promise (“we will refund by Friday”) as its own timeline entry with the date of the email.
- If you used a web chat or portal, screenshot with URL/date if shown, and describe the channel in the evidence label.
- Match amounts mentioned in emails to your invoice and bank records.
